My System

Please understand that I live in California, and this system has been designed to adhere to the California Educational Code. Explanations for the forms and why they are required/recommended are in my workshop outline.

School Records
These records are required.  The requirements are listed on the Private School Affidavit.  These records belong to the school and do not follow the student should they transfer to another school (medical records kept in CUM files do transfer).

Student Records
These records are optional yet recommend and are kept in a student cum file.  The CUM (cumulative) file should be sent, upon request, if your student transfers to another Elementary, Middle, or High School. These records follow the student.

    • I don't know how the mandatory vax laws apply here. I will be seeking guidance from HSLDA.

Teacher's Records
These records are optional and are not subject to inspection, but I recommend them.  They show that teaching and learning have taken place.  You may use these to defend your homeschool, should the need arise.  If not, they are still fun to look at years later.  Keep it simple.  You can organize these by year or by student.

I keep these records in two binders. One is labeled "Teacher Records." This binder holds everything I used to teach my children together such as co-op lesson plans, planning calendars, pictures from field trips, etc. The second binder is labeled "Student Portfolio." This contains everything the child completed on their own, such as their daily work logs, and work samples.
  • Teacher's Records - I have a small binder that I use for the current year so that I have a convenient place to do all of my school planning. At the end of each year I out these into a large binder with a tab for each school year.

    6. Test scores - keep them here so they are only looked at if you choose to share them
Scope and Sequence
This is a handy tool. It may seem like a waste of time, but for me it has been a time-saver.
  1. I keep this in a separate binder sorted by subject.
  2. I keep copies of covers and tables of contents from all the book I have used over the years.
  3. This is very helpful when writing the Course of Study and when evaluating curriculum. I have even taken mine to conventions so I do not but something I am already using.
